Lobtrix Privacy Policy

This policy explains what personal information Lobtrix collects, why we collect it, who sees it and what you can do about it. It covers the Lobtrix website, the player dashboard, the organiser console and the public event pages.

We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

1. What we collect

Account and profile

Your first and last name, and the display name shown on draws.

Your email address, and your mobile number if you give us one. We use email for account and entry updates. We do not currently send SMS.

Your gender and date of birth, used for division eligibility and age-restricted divisions.

Your city or suburb, and its approximate coordinates, used to sort events by distance. We do not ask players for a street address.

Your profile photo, if you upload one.

Your DUPR ID, if you add one to your profile.

How you heard about Lobtrix, answered once during setup.

Playing

The events, leagues and divisions you enter, your partner, your entry status and your position on a waitlist.

Your schedule, courts, match times, scores, game-by-game results, standings and any no-show, walkover or substitution recorded against your entry.

Check-in times at an event.

Organising

Organisation name, contact email, country, website and logo.

Venue and court data you enter, including addresses, court counts and court layouts.

Event configuration: divisions, prices, schedules, rosters and run sheets.

Rosters you import for corporate events, which contain the names, and optionally the gender, of the client's staff.

Payments

What you paid, when, in what currency, for which entry or event, and the status of that payment.

Card details are entered directly with Stripe. Lobtrix never receives or stores your full card number.

For organisers, the identity and payout information required by Stripe is held by Stripe under Stripe's own terms. We store only the connected account identifier and whether charges and payouts are enabled.

Messages

Enquiries you send to an organiser through an event page, including the message body and the address it should be answered at.

Technical

IP address, browser user agent, pages requested and approximate timing, used for security, rate limiting and debugging.

The IP address and browser recorded at the moment you accept the Terms of Service and this policy, kept as proof of acceptance.

Assistive-feature prompts and the drafts generated from them.

2. Why we collect it

To create and run your account.

To take entries, confirm teams, run waitlists and place you in eligible divisions.

To build draws and schedules and to publish results.

To take payment and to route entry fees to the correct organiser.

To let organisers run their events, including contacting entrants about their own event.

To keep the platform secure and to investigate abuse, fraud and payment disputes.

To prove that you accepted the current legal documents.

To improve the product, by reviewing how features are used.

To promote Lobtrix and the events run on it, using the marketing material described in section 8A of the Terms of Service.

3. What is public

Lobtrix runs public competitions, so some information is visible to anyone with the link.

Public

Your display name and profile photo.

The events and divisions you are entered in, once the organiser publishes the entry list.

Your partner's name in doubles.

Your draw position, schedule, court, scores, standings and results.

Names, club or company names, logos, event details, and photos or video provided to us can also appear in Lobtrix marketing, as described in section 8A of the Terms of Service.

Not public

Your email address, phone number, exact date of birth, and your city coordinates.

Your payment history and payment status.

Your enquiry messages, which go only to the organiser you sent them to.

Anything you enter that has not yet been published by an organiser.

4. Who we share it with

Organisers

An organiser can see the roster for their own event: entrant names, division, entry and payment status, check-in state, and the contact details needed to run the event. Email addresses are masked on the roster screen until deliberately revealed, and revealing them is recorded. Organisers cannot browse the wider Lobtrix player base.

Other players

A partner you invite sees your name and the event you invited them to. Opponents see what is on the draw.

Service providers

Supabase, for the database, authentication and file storage.

Stripe, for payments, connected organiser accounts and payouts.

Our hosting and content delivery providers, for running and serving the application.

Geocoding and mapping providers, including OpenStreetMap Nominatim, Geoapify and LocationIQ, for address and city lookup. We send the text you type in a search box, not your account details.

AI model providers, for the assistive drafting and scheduling features, receiving only the prompt content required for the task.

Plunk, for sending our email and for holding a contact record we use to send and time it. That record includes your name, account type, date of birth, city, how you heard about Lobtrix, your plan, and summary activity such as how many events you have entered or published.

Marketing channels

Where we use marketing material under section 8A of the Terms of Service, it can appear on the Lobtrix website, on our social media accounts, in advertising, in presentations and in case studies. That means the material itself is published, and the platforms hosting it receive it. We do not hand your account records, contact details or payment history to those platforms.

We do not sell your personal information, and we do not share your account records with advertisers.

Legal

We may disclose information where the law requires it, where it is needed to investigate fraud or a serious safety issue, or where a payment provider requires it to resolve a dispute.

5. Overseas storage

Some of the providers listed above store or process data outside Australia, including in the United States and the European Union. By using Lobtrix you consent to that transfer. We choose providers that offer contractual protections consistent with the Australian Privacy Principles.

6. Security

Access to data is controlled at the database level: rows are readable only by the account that owns them or by the organisation running the relevant event. Privileged operations run on the server, never in your browser.

Traffic is encrypted in transit. Passwords are hashed by our authentication provider and are never visible to us. Card numbers never reach our servers.

No system is perfectly secure. If we become aware of a data breach that is likely to cause serious harm, we will notify affected users and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

7. How long we keep it

Account and profile information: while your account is open, and for a short period afterwards to handle disputes.

Entries, scores and results: kept as part of the permanent competitive record of the event, including after you close your account. They remain associated with the name you played under.

Payment records: kept for as long as tax and financial record-keeping law requires, typically seven years.

Acceptance records for legal documents: kept for as long as they may be needed as evidence.

Marketing material already published, such as a case study or a social post: kept as published, even after you ask us to stop using new material.

8. Your choices and rights

You can view and update most of your information from your profile at any time.

You can ask for a copy of the personal information we hold about you.

You can ask us to correct information that is wrong.

You can ask us to delete your account. Published competitive results stay on the record, and information we must keep for tax or legal reasons stays as well.

You can opt out of non-essential email. Transactional email about an entry you hold is part of the service and cannot be turned off while the entry is live.

You can ask us to stop using your name, club name, logo, photos or event details in new Lobtrix marketing. Material already published stays as published.

Send requests to hello@lobtrix.com. We will respond within a reasonable time, normally within 30 days. If you are unhappy with our response you can complain to the Office of the Australian Information Commissioner.

9. Children

Lobtrix accounts are for people aged 13 and over. We do not knowingly collect information from anyone younger. If you believe a child under 13 has an account, contact us and we will remove it.

Where a junior plays in an event, an adult is responsible for their entry, their attendance and their fees.

10. Cookies and local storage

We use browser storage to keep you signed in and to remember interface preferences such as your last selected event.

We also use the Meta (Facebook) Pixel, a standard advertising measurement tool. It records page visits and basic device information so we can measure how our own ads perform on Facebook and Instagram. Meta may use this to show you Lobtrix ads. You can opt out through your Facebook ad settings.

11. Changes to this policy

We may publish an updated policy. When we do, we ask you to accept it the next time you sign in. The date it was last edited is always shown at the top of this page.
